Here you’ll find all the key information about how we handle your personal data during the recruitment process.

1. Who is responsible for data processing?

2. Which of your data do we process and for what purposes?

When you apply – for example, via our website or a third-party platform – we collect the information you submit as part of your application, such as your CV, cover letter, references, and any additional details you choose to provide. This helps us assess whether you’re a good match for the role or possibly another open position in our company and to properly manage the recruitment process.

3. On what legal basis is your data being processed?

The legal basis is mainly Art. 6 (1) lit. b GDPR – this allows us to process your data as part of the steps needed before entering into an employment contract. This applies whether you apply directly to us or via an external platform, in which case your data is transferred into our applicant tracking system.

If we proactively contact you – for example, on a professional networking or recruiting platform – or if you’re recommended to us as a potential candidate, we may process your publicly available or shared profile data based on our legitimate interest in identifying suitable candidates (Art. 6 (1) lit. f GDPR). Your data will only be stored if you express interest in a position. In that case, the same legal basis as for direct applications applies.

If any sensitive data is involved (like health-related information), we process it based on § 26 (3) BDSG and/or Art. 9 (2) lit. b GDPR in combination with Art. 6 (1) lit. b GDPR.

Should we need to keep your data after the process to protect ourselves legally (e.g. in case of discrimination claims), we rely on Art. 6 (1) lit. f GDPR (legitimate interest).

These rules also apply when we store your data temporarily after the process and later anonymize it, in accordance with GDPR law.

4. How long do we store your data?

If we receive your data through a referral program or without a direct application, we will ask for your consent before including your data in our recruitment process. If you do not give your consent, your data will be automatically deleted after 30 days.

If your application doesn’t move forward, we will anonymize your personal data six months after the decision.

Anonymized means we remove anything that could identify you. The data may then be used, for example, to improve our hiring process or for internal statistical purposes – and it is no longer subject to GDPR.

If you have agreed to be included in our talent pool, we’ll keep your data a bit longer so we can contact you in case a suitable position comes up. The data will be anonymized after two years. You can withdraw your consent to be included in the talent pool at any time. If you get the job, the data we need to manage your employment will be added to our HR system, where it will be processed in line with our internal employee data protection policy.

5. Who has access to your data?

Internally, your data is first reviewed by our Talent Acquisition team. If your profile fits, we share your application with the responsible department. Only the people who are directly involved in the hiring process have access to your data – and we don’t pass it on to anyone else.

We use an applicant tracking system (ATS) provided by a trusted software provider based in the USA. This provider may access your data in rare cases for maintenance or support – but only under strict controls.
Your data is primarily stored and processed within the EU.

We have a data processing agreement (DPA) in place to ensure that your data is handled safely and lawfully. The provider is currently certified under the EU-U.S. Data Privacy Framework (DPF) according to Art. 45 GDPR, which confirms an adequate level of data protection.

If this should change, we’ll make sure your data stays protected – for example, by using EU Standard Contractual Clauses (SCCs) under Art. 46 GDPR.

6. What rights do you have regarding your data?

You have the right to know which personal data we process about you.

If you ask us for that information and you don’t contact us in a verifiable written form, we may ask you to confirm your identity – just to make sure the request is really coming from you.

You also have the right to have your data corrected or deleted, or to restrict how it is processed, where the legal requirements for this are met.

In addition, you have the right to object to the processing of your data in line with legal regulations.
The same applies to your right to data portability.

8. Right to lodge a complaint

If you believe that the processing of your personal data is not in line with the General Data Protection Regulation (GDPR), you have the right to file a complaint – either by contacting our Data Protection Officer, us (please see the contact details in the previous section) or by reaching out to a data protection authority.
